A notice is a small sheet of paper giving written or printed information. It is placed in public place or on a noticeboard.
It is a short formal piece of writing. It is meant to announce meetings or events, to make appeals, to give invitation or to issue a warning, etc.
Sometimes it is used to spread some kind of awareness among the people.
An effective notice contains all the necessary information. For example, a notice announcing a meeting must mention date, time and venue of the meeting, otherwise it is incomplete and confusing.
The notice is written to:
(i) provide information about an event, function, celebration.
(ii) extend invitation.
(iii) issue a warning.
(iv) spread general awareness, etc.
HOW TO WRITE A NOTICE
1. Write the name of the issuing authority (institution, association or society) on the top.8
2. Write the word ‘NOTICE’ below the name of the institution or organization.
3. Give the date of issuing the notice.
4. Give a suitable catchy title or heading.
5. Convey the message clearly in the body of the notice.
6. Day, date, time, place, programme (in case of an event) must be mentioned.
7. Signature/name with designation of the issuing authority must be mentioned at the end.
8. In case the notice is about an event, give details of the schedule.
9. Do not exceed the limit of 50 words.
10. Put the notice in a box.
(a) Meeting: Date, Time, Place, Purpose/Agenda, Who to attend, Contact address, etc.
b) Events : Name, Objective/Occasion, Date, Time/Duration, Place, Who can take part, Contact address, etc.
(c) Tours/Camps: Name of the Club/Association, Destination, Duration, Venue, Occasion, Objective, Expenditure, Additional information, Contact address, etc.
(d) Exhibitions/Fairs : Name, Duration, Place, Occasion, Time/Date, Entry fee, Contact address, etc.
(e) Lost and Found : Name of the object, Date, Place, Time, Details of identity, Contents, Whom to contact, etc.
(f) Change of Name: Direct information, Present name, Father’s name, address, New name, Reason/ Cause of change, etc.
(i) Carefully include all the essential details, especially about the date, time and venue of an event.
(II) Don’t forget to mention the name of the institution, and the writer’s name and designation.
(III) Make a rough draft before finalizing.
(iv) Be factual, precise and straight forward.
(v) Do not add any irrelevant information.
(vi) Avoid being personal.
(vii) Use simple and correct English.
(vii) Do not exceed the prescribed limit of 50 words.
(ix) Put the notice in a box.
(x) Revise the notice.
